Help and guidance

1. Submit and publish your project

Preparation

Your project should be presented in a way that is engaging and meaningful, both in writing and visually. In addition to the text itself, photos (for which you hold the publication rights), videos and images help to liven up your entry and make it more accessible. Your project will be displayed in German, French and English; please select the languages.

Description

When describing your project, you might ask yourself the following questions:

  • What makes this project special?
  • Which aspects do I want to highlight?
  • What environmental, community and social objectives does the project pursue?
  • Which images, graphics, photos and videos should I use to present the project in an attractive and engaging way?
  • What existing information about the project would I like to include? (website, social media page, YouTube, blog…)
  • Do I want to encourage participation? If so, what am I looking for?

How do I register my project?

  1. Go to the website https://bibe.cell.lu
  2. Log in as a user with your name and a password of your choice
  3. From the drop-down menu, select ‘New initiative’
  4. Complete the online questionnaire
    • Add your images and text to the form
    • Videos can be embedded using the embedding function
    • You can insert links to your website or social media here
  5. The site is available in multiple languages: French, German and English. Select the language you’re most comfortable with; once you submit your entry, we’ll automatically translate it using DEEPL.
  6. You have the option to save and edit your submission until it is approved
  7. Once you have entered your initiative and authorised it for publication, it will not be visible online immediately, but will undergo an internal validation process.
  8. Your initiative will go live after a few days.
  9. You can access your content, manage, edit or delete your initiative at any time via your user account.

Follow-up

To keep your initiative’s presence lively and interactive, we recommend taking the following steps

Let people know about your initiative on BiBe via social media, blogs, newsletters, press articles and other public posts. This is easily done via cross-links and helps to generate interest.
Reply to emails from interested parties.
Update your profile at regular intervals (text and images).

2. Create and publish an event

You can create a new event directly via your dashboard and make it visible to the BiBe community. Here’s how:

Start a new event

In the dashboard, click on the three-dot menu in the ‘My Events’ tile and select ‘Create new event/appointment’. A form will open with three sections: Event, Location and Categorisation.

Enter basic details (the ‘Event’ tab)

  • Select the main language for your event.

  • Use the toggles to specify whether the event is Active and whether it should be listed publicly.

  • Enter the title, start and end dates, and the time.

  • Upload a descriptive photo.

  • Add a brief description and, if necessary, a more detailed description.

Specify the venue (the ‘Venue’ tab)

Enter where the event is taking place: name of the venue, address, postcode, town, country and local authority.

Select categories (the ‘Categories’ tab)

Assign relevant topics to your event, such as climate and energy, community, mobility or the alternative economy. This will make it easier for interested users to find.

Further information and registration (optional)

You can also provide a link to a website with further information. There are two options for registering for your event: registration directly via BiBe or an external registration link of your choice, which you can simply paste in.

Save and publication

Click on ‘Save’ once all compulsory fields have been completed. New events are briefly checked by our editorial team before publication. Once approved, you can edit or correct your event yourself at any time.

Sharing and visibility

Your published event will appear for all users in the dashboard under ‘All Events’. You can also share it via social media, WhatsApp or email. Using the calendar function, it can be imported directly into iCal or Google Calendar.

Tip: The more specific you are with the title, description, photo and categories, the easier it will be for other users to find your event.

3. Rooms on BiBe

On BiBe, you can not only discuss events and initiatives – you can also use your own digital spaces for your community. A space is the central hub for a group that wants to collaborate, organise itself or stay in touch.

How do I get my own room?

New spaces are not created automatically, but are always set up following prior consultation with the BiBe administrators. As creating a space requires a short training session led by us, the BiBe administrators, please get in touch with us in advance.

If you’re interested, simply send an email to Steve@cell.lu – including a brief description of the planned space – and we’ll then get in touch to arrange the training and set up your space.

An overview of the room

Every room has its own profile: a cover image, a logo, a name and a brief description. At a glance, you can see the room’s status – whether it is active, visible or private – as well as your own role within it, for example as a member or administrator.

The sections of a room

Home page Here you can see immediately what’s happening in the room: new members, newly created events or new chats – all displayed chronologically as an activity feed. Below that, you’ll find concise overviews of members and recent events.

Members Here you can see who is part of the community, when each person joined and what role they have in the room.

Events This section brings together all the room’s events in one place – with a calendar, past events and an overview of what’s coming up next.

Boards Boards work like themed noticeboards. Here you can share information, ask questions and discuss specific topics – with a separate board for each topic.

Files: Here you can organise documents by topic and share them with the whole community – ideal for making important documents centrally accessible.

Chats: Chats are available for direct communication. You can create multiple chats on different topics or for small groups, and share messages, links or videos there.

Info All key information about the room – name, status, founder, number of members and description – is gathered in the Info section.

Roles in the room

Depending on your role, you have different ways of helping to shape the space:

  • Member: participates in the space, uses boards, chats, events and files.

  • Room admin: also manages content and members within the room.
